Reservations: Call  1-307-752-9466 Monday through Friday; or log on to www.traveltherockies.com and E-mail us by filling out the Request Form.

Deposits and Payments: We require a 65% deposit of the total amount of your vacation package at the time of booking. However, if you are taking an upscale vacation utilizing spas and resorts, the deposit will be more – depending on the specific spas and resorts being utilized in the vacation. Many of our hotels require 100% payment to them at the time of confirmation. The remainder amount is due **60 days prior to the first day of the vacation. We DO NOT accept credit cards. However, we do accept personal checks, money orders and certified checks.

As soon as your vacation deposit check has cleared, we will update the link we presented to you with any modifications you requested and confirmation numbers for your hotels and activities (if applicable). Upon receipt of the total amount of your vacation package (due 60 days before first day of your vacation), you will receive by Second Day Express your complete packet, including detailed driving itinerary; all meal, hotel and activity vouchers; certificates and tickets to scheduled activities; hikes, recreational activities and scenic opportunities at each of your destinations.

Cancellation and Refunds: Cancellation fees are necessary to cover the costs associated with development and document processing costs and/or the loss of appropriate time to resell the space. If you are unable to begin your trip, please contact us immediately. Refunds are based upon the date of receipt of written notice (mail; E-mail; or facsimile) and will be subject to the following cancellation fees as well as any additional fees associated with nonrefundable advance payments made on your behalf related to your trip.

More than 90 days prior to departure: $ 150 per person.

61 to 90 days prior to departure: 15% of trip price.

31 to 60 days prior to departure: 25% of trip price.

30 days or less prior to departure: If reservations are not canceled prior to this time, most hotels keep the entire amount that has been charged for the stay. Should something unforeseen come up, we will do our best to reschedule your trip.

Last minute cancellations or changes are subject to lodging/vendor fees as well as Travel the Rockies reimbursement processing fees.  Cancellation refunds of any kind may take up to 6 weeks to process.

Travel the Rockies is not responsible for any loss to you of booking fees, or any other expenses that may be charged to you for late cancellations.

Late Bookings: Trip reservations made within 30 days of departure may be subject to additional fees to allow for necessary expediting.

Travelers’ Responsibility: Travelers are responsible for choosing a trip consistent with their ability, fitness, and overall health. Travelers are also responsible for reading and understanding all pre-departure materials.

Limitation and Liability: Travel the Rockies LLC, its owners, agents, and employees, hereby give notice that they act only as agents for hotels, land operators, and all activity operators. Travel the Rockies LLC selects licensed, insured and/or bonded concessionaires and its owners, agents and employees will not be responsible for any act, error, omission, nor for any injury, loss, accident, delay, inconvenience, irregularity, or damage which may be occasioned by any cause whatsoever, including acts of nature, civil disturbance, government restrictions, or failure of any means of conveyance to adhere to published schedule. We are not liable for expenses (e.g., meals, transportation or hotel costs) that are not specified as included in the vacation package.

Any voucher that is altered by client will be considered fraud and Travel the Rockies LLC is not liable for incurred charges for forged vouchers submitted to our vendors.  Any such action will cancel and void any refund.

If Travel the Rockies LLC needs to cancel any trip due to acts of insurrection, strikes, acts of God, or any other cause beyond the control of Travel the Rockies, refunds will be based upon the difference between the original trip price and the cost of services already provided.
